This Refund Policy outlines the terms under which payments are made to Apex Viral AI and how we handle cancellations, billing disputes, and client satisfaction. Please read this policy carefully before securing a retainer.
Due to the nature of our services - which involve the immediate allocation of human editorial time, dedicated production resources, and AI computational capacity - all payments made to Apex Viral AI are non-refundable. This applies to one-time Pilot purchases, bi-weekly retainers, and annual billing cycles alike.
The moment a retainer is secured, your slot is reserved and production infrastructure is put in place for your account. This includes onboarding, communications channel setup, and the commencement of content ingestion. These resources cannot be reassigned or recovered once allocated.
For The Ignition (One-Time Pilot): The $400 pilot fee is non-refundable once production has commenced - that is, once content ingestion, B-roll generation, or any editorial work has begun on your behalf. The Ignition does not involve recurring billing and carries no cancellation obligation. If you choose to proceed to an Accelerator or Omnipresence retainer after your pilot delivery, your $400 is credited in full against your first billing period automatically - no separate request required.
Unlike physical goods, digital services involve labour and processing costs that are incurred at the point of production - not at the point of delivery. Specifically, each retainer period involves:

While we do not offer refunds, we are fully committed to your satisfaction with the final delivered assets. Our production process includes revisions at no additional cost. The Ignition pilot covers one full revision round. Accelerator and Omnipresence retainer clients receive multiple revision rounds per production batch. In all cases, you may request adjustments to:
Revision requests must be submitted through your dedicated Slack or Discord channel within 5 business days of delivery. Our team will prioritise your revisions and work with you until the asset meets your brand standards. If you have a concern about a specific deliverable, please reach out directly - we will always work in good faith to make it right.
For The Ignition pilot, the one included revision round must be requested within the 7-day delivery window. Revision requests received after final delivery of all 7 assets and outside this window may be accommodated at the team's discretion based on production scheduling.
The Ignition is a one-time purchase with no recurring billing cycle. There is no cancellation applicable - no further charges will be made beyond your initial $400 payment, and no action is required from you after your assets are delivered.
For ongoing retainer plans, you may cancel at any time through the secure Whop Client Portal. Cancellations take effect at the end of the current active billing period. No further charges will be made after a cancellation is confirmed, and you will continue to receive your deliverables for the remainder of the period already paid.
We operate on a fully flexible, commitment-free model. There are no long-term contracts, exit fees, or penalties for cancelling. We believe in earning your continued business through the quality of our work - not through contractual obligation.
Annual retainers are billed upfront as a single payment and are non-refundable once the billing cycle has commenced. This is because annual capacity is reserved exclusively for your account across all 26 bi-weekly production periods, and that commitment cannot be unwound once initiated.
If you have specific concerns about committing to an annual plan, we recommend starting on a bi-weekly basis first. You can switch to an annual plan at any renewal point to take advantage of the 25% discount.
If you believe you have been charged in error - for example, due to a duplicate charge or a technical billing issue - please contact us immediately through your communication channel or via the contact form at apexviralai.com. We will investigate the matter promptly and, where an error is confirmed, issue a correction or credit as appropriate.
Billing disputes raised directly with your payment provider (chargebacks) without first contacting us may result in the suspension of your account and active production work.
In the unlikely event that Apex Viral AI fails to deliver the agreed volume of assets within a billing period due to reasons entirely within our control, we will work with you to make it right - either through prioritised delivery in the following period or an agreed credit. This does not apply to delays caused by late or inaccessible client materials, as outlined in our Terms of Service.
